To work effectively I will need to collect and store certain personal data.  I take your privacy seriously and hope the following statement provides you with transparency and confidence about how your data is collected and stored. Please let me know if you have any questions or concerns.

What type of information I have:

I currently collect and process the following information:

  • Personal identifiers, contact details and emergency contact details

  • Records of when and where we communicate (for example therapy sessions, significant contact between sessions etc.

  • Basic medical information – Registered GP, prescribed medication, any medical conditions and allergies

  • A brief summary of our therapeutic conversations

  • Analytics data collected through my website

 

How I get the information and why I have it:

Most of the personal information I process is provided to me directly by you for one of the following reasons:

  • To communicate with you.

  • Assessment of your requirements, treatment planning and delivery.

  • In order to adhere to the British Association for Behavioural and Cognitive Psychotherapies (BABCP) standards of conduct, performance and ethics and maintain my accredited status.

  • Emergency situations - I may divulge confidential information if it is judged there is a potential risk to yourself or someone else, or I am obliged by law.  In these circumstances I will, if possible, discuss this with you first. In the interests of safety however, I retain the right to break confidentiality without prior consultation should I consider the matter urgent.

 

How I store your information:

  • Your information is securely stored online using ISO27001 certified practice management software.

  • Emails are stored in a password protected account.

  • All passwords for my online accounts are stored in a secure online password manager.  My next of kin and clinical executor have been granted emergency contact status, to allow them to execute my Clinical Will if needed.  They can request access to my passwords, but this will only be granted if I have not responded to deny their request within a specified time period.

  • Personal information I receive from you via third party websites (e.g. Psychology Today, Counselling Directory) is initially stored on my account with those sites, but is deleted from my account regularly.

  • As recommended by my insurer, I will keep your therapy notes for 7 years after we finish working together, after which they will be deleted.  However, in the event that my Clinical Will is actioned all of my notes will be deleted shortly afterwards.  If you are an active client at this time, you will be contacted by my Clinical Executor and given 7 days notice, allowing time for you to access your notes if you wish.

 

Your data protection rights:

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask me for copies of your personal information.

  • Your right to rectification - You have the right to ask me to rectify information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask me to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask me to restrict the processing of your information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.

  • Your right to data portability - You have the right to ask that I transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.

How to complain:

You can direct any complaints directly to me  in the first instance.  You can also complain to the ICO if you are unhappy with how I have used your data.
